Refund & Cancellation Policy

This policy explains how GridGap handles subscription cancellations, statutory cooling-off rights, account deletion requests, and consumer annual renewal rights.

1. General Policy

Except as required by law or as explicitly stated in this policy, all GridGap subscriptions are non-refundable. When you cancel a subscription, the cancellation will take effect at the end of your current billing cycle, and you will continue to have access to the service until that time.

2. Regulatory "Cooling-Off" Periods

If you are a consumer residing in the European Union (EU), United Kingdom (UK), or other territories with mandatory "cooling-off" periods, and applicable consumer law gives you a statutory cooling-off or withdrawal right, we will honour that right. Depending on your territory, this may entitle you to cancel within a specified period and receive a full or partial refund, subject to the rules that apply to digital services, immediate access, and services already supplied.

How to Claim: To exercise this right, you must contact our support team through the contact form within the "cooling-off" window.

Refund Processing: Once verified, we will issue a refund to your original payment method without undue delay and within the timeframe required by applicable law.

Waiver for Digital Content: By signing up and requesting immediate access to our services, you acknowledge that for certain digital content, where permitted by law, if you request immediate access to GridGap after purchase, you acknowledge that GridGap will begin supplying the digital service immediately. This may affect, reduce, or end any statutory cooling-off, withdrawal, cancellation, or refund rights that would otherwise apply, depending on your territory and the extent to which the service has been supplied.

3. Downgrades and Plan Changes

Annual to Monthly: If you downgrade from an annual to a monthly plan, the change will take effect at the end of your current annual billing cycle. No partial refunds will be issued for the remaining time on the annual plan unless required by local law.

Monthly to Annual: The change will take effect immediately, and your first annual bill will be prorated based on any remaining time on your current monthly plan.

4. Exceptional Circumstances

We may, at our sole discretion, provide refunds in exceptional cases (e.g., prolonged service outages or billing errors). These are handled on a case-by-case basis through our support team.

5. Account Deletion & Right to Erasure (GDPR/CCPA)

You may request the permanent deletion of your account and associated personal data at any time by using the contact form with the request type or message subject "Data Erasure Request."

Scope of Deletion: Upon receiving a verified request, we will remove your personal profile, login credentials, and usage data from our active systems. We will respond to verified deletion requests without undue delay and within the timeframe required by applicable law, usually within one month.

Mandatory Retention: Please note that requesting account deletion does not automatically entitle you to a refund of past payments. Furthermore, we are legally required to retain certain information (such as invoices, transaction IDs, and tax records) for a period of time (depending on territory) to comply with financial and tax regulations.

Effect on Subscription: If you request data erasure while you have an active subscription, your access to the service will be terminated immediately. If you request account deletion while you have an active subscription, we will cancel future renewal of the subscription. Your access to GridGap will end once the account deletion process is completed. Account deletion does not automatically entitle you to a refund, credit, or extension for unused subscription time, except where required by applicable law.

Data Download: You can download all of personal data, projects, versions, scenarios, results and warnings from within the account page on GridGap. Once your account has been deleted, this data will no longer be available.

6. Consumer Annual Renewal Cooling-Off Rights

In some territories where your annual subscription automatically renews, you may have a statutory renewal cooling-off right for a period of time after the renewal date.

Where this right applies, you may contact us through the contact form within the applicable period to request cancellation of the renewed subscription.

Any refund will be handled in accordance with applicable law. Depending on the circumstances, including whether GridGap has continued supplying the digital service during the renewal period, any refund may be full or proportionate.

This section applies to eligible consumer subscriptions only and does not apply to Business subscriptions purchased for business, trade, professional, or organisational use, except where applicable law says otherwise.
