1. About this Privacy Policy

This Privacy Policy explains how GridGap collects, uses, stores, shares, and protects personal information when you use our website, web app, support services, and any future mobile companion apps.

Privacy laws generally require transparency about what personal data is collected, why it is used, how long it is kept, and who it is shared with. GDPR Article 13, for example, requires information such as controller identity, purposes of processing, recipients, retention periods, and user rights to be provided when personal data is collected. Google Play also requires apps to post a privacy policy explaining what user data is collected and transmitted, how it is used, and what parties it is shared with.

3. Information we collect

We may collect the following types of information.

3.1 Account information

When you create an account, we may collect:

  • login provider information, if you use Google, Microsoft, Apple, or another provider;
  • email verification status;
  • account role;
  • subscription tier;
  • account creation date;
  • last login date;
  • last activity date.

We do not store your plain-text password.

3.2 Authentication provider information

If you use third-party login, we may receive information from the provider, such as:

  • email address;
  • name;
  • provider account ID;
  • email verification status;
  • profile information made available by the provider.

We use this information to create or log in to your GridGap account.

3.3 Project and calculation data

When you use GridGap, we may collect and store information you enter or generate, including:

  • project names;
  • project usage type;
  • scenarios;
  • appliances and load data;
  • battery inputs;
  • inverter inputs;
  • solar inputs;
  • installation and protection inputs;
  • assumptions and overrides;
  • calculated results;
  • warnings;
  • saved versions;
  • equipment check information;
  • generated report metadata.

This information is used to provide the GridGap calculation and reporting service.

3.4 Billing and subscription information

If you purchase a paid subscription, we may collect and store:

  • subscription plan;
  • subscription status;
  • Stripe customer ID;
  • Stripe subscription ID;
  • billing period dates;
  • cancellation status;
  • invoice/payment status information received from Stripe.

We do not store full payment card numbers or CVV codes on our own servers. Payments and billing may be processed by Stripe, which provides payment infrastructure for businesses.

3.5 Support information

If you contact support or create a support ticket, we may collect:

  • your name and email;
  • support messages;
  • ticket category;
  • related project/version/scenario references;
  • support status;
  • attachments, if supported in the future;
  • admin replies;
  • internal support notes.

3.6 Contact form information

If you submit an enquiry through the website contact form, we may collect:

  • name;
  • email address;
  • enquiry type;
  • message;
  • any other information you choose to provide.

The contact form may be processed by a form-handling provider such as Formspark.

3.7 Technical and usage information

We may collect technical information such as:

  • pages or routes visited;
  • API requests;
  • error logs;
  • login timestamps;

  • approximate location based on IP address;
  • security logs.

This helps us operate, secure, debug, and improve the service.

3.8 Admin audit information

When authorised administrators access customer data for support or operational purposes, we may log:

  • admin user ID;
  • target user ID;
  • target project/version/scenario ID;
  • support ticket ID;
  • action performed;
  • timestamp;
  • IP address;
  • user agent;
  • reason for access, where applicable.

4. How we use information

  • authenticate users;
  • provide the GridGap app;
  • store projects and scenarios;
  • run calculations;
  • generate results and warnings;
  • provide subscription access control;
  • process payments and subscriptions;
  • provide PDF reports and branded outputs;

  • prevent fraud, spam, abuse, and unauthorised access;
  • maintain security;

  • improve the app and user experience;
  • understand aggregate product usage;

5. Legal bases for processing

Where applicable data protection law requires a legal basis, we may rely on:

  • Contract: to provide the GridGap service, account access, subscriptions, calculations, reports, and support.
  • Legitimate interests: to secure the service, prevent abuse, improve the product, troubleshoot issues, and understand aggregate usage.

  • Legal obligation: to comply with accounting, tax, legal, or regulatory requirements.

We may send marketing emails only where permitted by law. You can unsubscribe from marketing emails, but you may still receive transactional or account-related emails.

At launch, GridGap should avoid unnecessary tracking cookies.

8. Payment processing

Payments are processed by Stripe.

Stripe may collect and process payment information, billing details, card details, and transaction data according to its own privacy and security practices.

GridGap stores only the information needed to manage your subscription inside our app, such as plan, status, customer ID, subscription ID, and billing period information.

9. Third-party services

We may use third-party providers for:

  • hosting;
  • database infrastructure;
  • payment processing;
  • email delivery;
  • form handling;
  • authentication;
  • support notifications;
  • analytics, if added later;
  • mobile app services, if added later.

These providers may process personal information on our behalf or as independent controllers depending on the service.

We aim to use reputable service providers and limit the information shared with them to what is necessary.

10. Google, Microsoft, and Apple login

If you choose to log in using Google, Microsoft, or Apple, the provider may share account information with GridGap so we can authenticate you.

This may include your email address, name, provider account ID, and email verification status.

Your use of those login providers is also subject to their own terms and privacy policies.

If GridGap is distributed through app stores in the future, Apple and Google may require privacy disclosures. Apple's App Store privacy details process requires developers to disclose data collection and third-party partner practices. Google Play requires apps to provide privacy disclosures about collected and transmitted user data.

11. Support and admin access

To provide support and investigate issues, authorised GridGap administrators may access account, project, scenario, calculation, result, warning, and support-ticket data where reasonably necessary.

Examples include:

  • investigating a bug;
  • reviewing a support ticket;
  • checking a calculation issue reported by a user;
  • resolving account or subscription problems;
  • maintaining security;
  • preventing abuse.

Where practical, admin project access will be read-only and logged.

12. Product analytics

We may use aggregate analytics to understand how GridGap is used, such as:

  • number of users;
  • active users;
  • subscription counts;
  • common scenario types;
  • common usage categories;
  • calculation counts;
  • feature usage;
  • warning frequency;
  • support ticket trends.

Where practical, product analytics will be aggregated and used to improve GridGap rather than to inspect individual project content.

13. Data sharing

We may share information:

  • with service providers who help us operate GridGap;
  • with payment processors such as Stripe;
  • with authentication providers where needed for login;
  • with email or form providers;
  • if required by law, regulation, court order, or legal process;
  • to protect rights, safety, security, and property;
  • in connection with a business transfer, merger, acquisition, or sale of assets.

We do not sell personal information to advertisers.

We do not allow advertisers to access your project data.

14. International users and transfers

GridGap may be used by users in different countries.

Your information may be processed or stored in countries other than where you live, depending on our hosting providers, payment providers, email providers, and other service providers.

Where required, we will take appropriate steps to protect personal information when transferred internationally.

15. Data retention

We retain personal information for as long as reasonably necessary to:

  • provide the service;
  • maintain your account;
  • store your projects and results;
  • support billing and accounting;
  • handle disputes;
  • comply with legal obligations;
  • maintain security;
  • back up systems;
  • improve the app.

16. Deleting your account

If your account is deleted, your access to projects, calculations, reports, and paid features may be removed.

No system is completely secure. You are responsible for keeping your login details safe.

19. Children

GridGap is not intended for children.

You must not use GridGap if you are under the age required to enter into a binding agreement in your location.

We do not knowingly collect personal information from children.

20. Mobile apps

If GridGap releases mobile companion apps, those apps may collect or access similar account, project, subscription, and usage data as the web app.

Mobile app stores may require additional privacy disclosures. Apple's App Store privacy details process requires developers to disclose data collection and third-party partner practices. Google Play requires apps to provide privacy disclosures about collected and transmitted user data.

This Privacy Policy will be updated before or when mobile apps are released if additional data practices apply.

21. Links to other websites

GridGap may contain links to third-party websites or services.

We are not responsible for the privacy practices, content, or security of third-party websites.

22. Changes to this Privacy Policy

We may update this Privacy Policy from time to time.

If changes are material, we will take reasonable steps to notify users.

The updated Privacy Policy will be posted on our website with a new effective date.
