Quote And Invoice Workflow For Business Workspaces
Business workspace documents use the workspace context. That affects which projects you can quote, whose commercial settings are used, and which team members can carry the workflow forward.
Work in the correct workspace
Select the Business workspace before opening the project, reviewing results, or creating a quote. GridGap treats personal projects and workspace projects as separate contexts. A workspace quote should come from a workspace project in that same active workspace.
If the project is still personal, import it into the workspace first if it is meant to become shared team work. Once the shared copy exists, use the workspace copy as the source for calculations, results, quotes, and invoices.
Set workspace commercial settings
Workspace commercial settings are used for quote and invoice defaults in that workspace. Personal commercial settings do not override them. Owners and admins can manage workspace settings; other roles may be able to view the values without being able to change them.
Set tax, currency, quote numbering, invoice numbering, payment text, deposit rules, and PDF display choices before the team starts issuing customer documents. Issued snapshots do not update just because workspace settings change later.
Know what each role can do
In an active workspace, owners, admins, and members can normally work with shared projects. Viewers can review workspace content, but they do not have the same editing access. Quote generation also depends on being in a Business workspace context where the user can edit the workspace project.
Billing is owner-only. Member management sits with owners and admins. If a document action is missing, check the role and workspace state before assuming the quote or invoice itself is broken.
Use one shared source of truth
The clean team workflow is simple. Calculate the workspace project version, generate the quote from the saved workspace result, edit and issue the quote, mark it accepted when the customer agrees, then create invoice drafts from that accepted quote snapshot.
Avoid creating parallel personal and workspace quotes for the same customer job. That makes it too easy to invoice from the wrong accepted record.
Watch workspace status
Business workspace access also depends on workspace status and seat limits. If the workspace is inactive or over its paid seat limit, shared functions may be restricted until the owner or admin resolves the issue.
Keep support context specific
When you contact support about a workspace quote or invoice, include the workspace name, project, version, scenario type, quote number, invoice number if there is one, and the role of the user seeing the problem. That saves a lot of back-and-forth.
