Set Up Commercial Settings
Do this before you create quotes. Commercial settings provide the seller details, numbering, tax behaviour, document text, and deposit defaults that GridGap uses when it creates commercial documents.
Open the right settings page
Personal commercial settings apply when you are working in your own account. Organisation commercial settings apply when the project is in a Business workspace. Workspace settings are shared settings, so use them when quotes and invoices should carry the organisation's commercial identity.
If the settings form is read-only, check your current account or workspace role. GridGap will still show the saved settings, but only users with the right access can change them.
Set business identity and currency
Add the business registration number, tax registration number, default currency code, and PDF accent colour. These values are not calculation inputs. They shape the quote and invoice documents that customers see.
Set tax defaults carefully
If tax applies, enable tax, add the tax name, set the default rate, and choose whether prices include tax. Also decide whether the PDF should show the tax breakdown. GridGap uses these saved settings when it calculates quote and invoice totals on the backend.
Most mistakes here come from mixing tax-inclusive and tax-exclusive pricing. Decide how you price your rows before you start editing quotes.
Set quote and invoice defaults
Quote settings cover the prefix, next number, optional number format, validity period, default terms, default notes, and PDF display options. Invoice settings cover the same numbering idea, due days, invoice terms, invoice notes, and whether invoices show the quote reference.
Numbering is used when documents are issued. Changing the next number later does not rewrite quote or invoice numbers already assigned to issued documents.
Set deposits and payment text
Enable deposits only if you want quotes to carry a deposit amount. Deposits can be percentage-based or fixed amount. Add deposit terms and payment instructions if you want those lines to appear consistently on documents.
Save before quoting
Click Save Commercial Settings before creating the quote. A draft quote is created from the saved commercial profile at that point, so settings should be in place first.
