Commercial Settings Explained

Commercial settings are the defaults GridGap uses when it creates quote and invoice documents for a Pro account or a Business workspace.

Where to manage them

Personal commercial settings live on the account page and are available to active Pro personal accounts. Workspace commercial settings live on the workspace settings page and can be managed by workspace owners and admins in a Business workspace.

When you work inside a Business workspace, the workspace settings are the commercial context for the quote or invoice. Personal settings do not override that workspace context.

Business identity and PDF appearance

The settings include business registration number, tax registration number, default currency, and PDF accent color. Company name, contact details, address, website, and logo come from the PDF branding settings rather than being typed again into commercial settings.

Tax defaults

Tax defaults control whether tax is applied, the tax label, the default tax rate, whether prices include tax, and whether the PDF shows a tax breakdown. The backend calculates quote and invoice totals from these settings. The frontend display is not the source of truth for totals.

Numbering and document text

Quote and invoice prefixes, next numbers, number formats, quote validity days, and invoice due days are set here. Default quote terms, invoice terms, notes, payment instructions, assumptions, exclusions, and warranty notes are also handled here.

Deposits and display options

Deposit settings decide whether a quote carries a deposit amount, and whether that deposit is percentage-based or fixed. Quote display options decide whether the technical summary, warnings, and acceptance block appear on quote output. Invoice display options include whether the invoice shows the quote reference.
