Quote Statuses Explained

Quote status controls what you can do next. The main divide is simple: draft quotes are editable, issued quotes are locked for document output.

Draft

Draft is the working state. You can edit customer details, commercial line fields, prices, discount, terms, and notes. A quote PDF is not available while the quote is still a draft.

Issued

Issued means the quote has been locked into an issued snapshot. The quote number is assigned, the PDF can be downloaded, and the draft editor is no longer available for that quote.

Accepted

Accepted means the issued quote has been marked as accepted. This is the state that allows invoice creation. GridGap can create full, deposit, or balance invoice drafts from the accepted quote snapshot where the amounts support those options.

Declined

Declined keeps the quote as a record, but it is not treated as a quote to invoice. Use this when the customer has rejected the issued quote.

Cancelled

Cancelled also keeps the issued quote as a record. Use it when the quote should no longer move forward for reasons other than a customer decline.
