How Invoice PDFs And Payments Work

Issue the invoice before downloading the PDF or recording payment against it.

Invoice PDF export

A draft invoice is still editable, so the PDF is not available yet. Click Issue Invoice on the invoice detail page when the invoice is ready. GridGap stores the issued invoice snapshot and then shows Download Invoice PDF.

Recording payment

Issued invoices with an outstanding balance can record payment. The payment dialog starts with the current balance due. You can record the full amount or a smaller amount.

A full payment moves the invoice to paid. A smaller payment leaves a balance and moves the invoice to part paid. GridGap recalculates the balance after payment is recorded.

Overdue invoices

If the due date has passed and a balance remains, GridGap can show the invoice as overdue. The status comes from the saved due date and the remaining balance.

Voiding an invoice

Void is available for issued, part-paid, and overdue invoices. It keeps the record but stops the invoice being treated as an active payable invoice.

What GridGap does not do

GridGap records invoice payment status inside the app. It does not collect online payments, connect to accounting software, or reconcile your bank account.
